This explains, plainly, what personal data SMART collects, why, and what you can do about it. No dense legalese — just what actually happens to your information.
Who we are
SMART Productivity Planners provides interactive planners, playbooks, and tools, including the SMART Tracker. For any privacy question, contact smartproductsuite@outlook.com. We are based in the United Kingdom and this notice is written to meet UK data protection law (UK GDPR and the Data Protection Act 2018).
What we collect, and when
Most of the SMART site — the planners, playbooks, and guides you download or view — does not require an account, and we do not collect personal data simply because you browsed it.
The SMART Tracker is different, because it is a personal tool that has to remember your entries. When you use it, we collect:
- Your email address — used to create and sign you into your account. Account sign-in is handled by Netlify Identity; your password is stored securely by that service and is never visible to us.
- The data you enter into the Tracker — the metrics you choose, the numbers you log each week, and any reflections you write. This is stored so the tool can show you your history and trends.
- Your weekly reflection text, at the moment you request one — sent to our AI provider (Anthropic) so it can generate your observation and action. See "AI reflections" below.
Why we can use it (lawful basis)
We process this data to provide a service you have asked for — the Tracker cannot function without remembering your entries, and it is delivered under our agreement with you (contract). We do not use your Tracker data for advertising, and we do not sell it.
Where it's stored
Your Tracker data is stored using Netlify, the platform that hosts the site (in a store called Netlify Blobs), scoped to your account so that only your signed-in account can read it. Account details are held by Netlify Identity. Both are provided by Netlify, Inc.
AI reflections
When you ask the Tracker for a reflection, the relevant recent entries are sent to Anthropic (the makers of Claude) to generate a short observation and suggested action, which are then shown and saved to your account. We send only what is needed for that reflection. We do not use your data to train AI models.
Sharing
We share your data only with the service providers that make the tool work — currently Netlify (hosting, accounts, storage) and Anthropic (the AI reflection). We do not sell your data or share it for marketing.
How long we keep it
We keep your Tracker data for as long as your account is active, so your history is there when you return. You can delete all of it at any time (see below), and we will remove data we no longer have a reason to hold.
Your rights
Under UK data protection law you can ask to access your data, correct it, delete it, or object to how we use it. Two of these are built straight into the Tracker:
- Delete your data yourself — the Tracker has a "Delete all my data" button that permanently removes your stored entries.
- Close your account — contact us and we will remove your account and associated data.
For any other request, email smartproductsuite@outlook.com. If you are unhappy with how we have handled your data, you can complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
The Tracker uses only what is needed to keep you signed in (handled by Netlify Identity). Where analytics are used elsewhere on the site, they are limited to understanding general usage and are not used to build a profile of you.
This notice may be updated as SMART grows. The date at the top shows when it last changed. Material changes affecting the Tracker will be made clear when you next sign in.
